This submission option allows you to submit documents via email directly to Transcepta. When our system receives an email, it will automatically pull the attached file(s) for processing. For documents to properly process, the sender's email address must be a registered user on your account. The format of all documents must match the original sample(s) used at the time you completed onboarding with Transcepta. Any shift in format such as column headers or column order may cause documents to fail. If your document format changes, or if you have more than one format, please be sure to notify our support team so that the appropriate updates can be made to your account.
Sending Multiple Documents
Documents can be batched together in a single PDF file. Our system will automatically split out the individual documents and process them. You can also attach multiple PDFs to a single email but please note that our there are size limitations (<20 mb per email). Zip files and Winmail.dat files cannot be processed.
Registered Users
When submitting documents via email, you must ensure that all sender email addresses are added as authorized users on your Transcepta account. Documents received from unknown email addresses will not be processed and will be returned to the sender. IMPORTANT: If your system sends out documents automatically, you will need to add your system’s sending email address as a registered user. If your system sends from a generic email not specific to your company (such as QuickBooks or NetSuite emails) please notify our support team for assistance. You can manage users by logging into the Transcepta Supplier Portal and navigating to Settings > Manage Users > + New User.

Scanned Documents
Transcepta cannot accept scanned or image-based documents for processing. If you're unsure if your document is a scan, please open the file and try to highlight text on the page. If you're able to drag your cursor across the page and highlight individual lines of text, then it is likely that your document is in the correct format. If you have attempted the above test and still aren't sure if your document is a scan (image-based), please contact our support team.
Format Errors
If you receive a format error on your emailed invoice submission and are unsure why this occurred or how to prevent it on future submissions, you can contact the Transcepta Support Team, who will be able to assist you with these matters.
