If you find an error or omission on any of your invoices, you can edit and resubmit you documents instantly through the Transcepta Supplier Portal. This is possible even after you have sent it to Transcepta or entered it on the Supplier Portal. The steps you will need to take to edit your invoice are dependent upon the progress in the delivery process. You must first check to see if your invoice can be instantly edited or if you will need to resubmit a copy of the invoice to correct the errors.
Can it be Edited?
Within the Supplier Portal, you will be able to check your invoices to see if they have been processed, or if they can still be adjusted. To do this you will need to:
- Go to the “Invoices” page
- Search for the desired invoice
- Click on the invoice to enter the “Preview Invoice” screen
The colored bar at the top of the screen will indicate whether the invoice has been sent and will also let you know if it can be edited. If it can be edited, a link or button labeled "Edit Invoice" will appear on the right side of the colored bar.
If the “Edit Invoice” button appears on the top right of the “Preview Invoice” screen:
- Click the “Edit Invoice” link or button to go into the invoice editing screen
- Make the desired changes
- Click the “Save & Continue” button at the bottom of the editing screen
- Click the “Send” button in the colored bar at the top of the “Preview Invoice” page to release the invoice to your customer
If an “Edit Invoice” link or button does not appear on your screen, you may still be able to cancel the invoice and resubmit. In this case, a “Cancel Invoice” button will appear at the top of the “Preview Invoice” page, which you can select to prevent the invoice from being delivered to your customer. Then you can edit the document as described above.
If you cannot cancel the invoice, you can still make a copy of the invoice and resend it with your desired changes:
- Scroll to the “Other Actions” section at the bottom of the invoice on the “Preview Invoice” page
- Select the “Create a Copy of this Invoice” link
- The system will navigate to the invoice entry screen with all the data from the original invoice populated except the invoice number
- Fill in the invoice number and make your desired changes
- Click the “Save & Continue” button at the bottom of the editing screen
- Select the “Send” button at the top of the "Preview Invoice" page to release the invoice to your customer
